Question : First, regarding the samples, are they upon request or do we send them along with the bid response? I would also like to know how we should be making our sample payments. How much should we be sending? $100 for each new sample certification? 
Answer : Please DO NOT send any samples with your bid submission. Samples, as explained in the bid special conditions, will be requested by the Buyer upon evaluation of the bid. Any fee associated with the samples will be discussed at that time as well.

Question : Could we do about 10 shipments per year?  
Answer : The number of shipments per year can be broken down by the following guidelines. If a product has extremely high usage such as item # 47, Sporks ( 112,800 cases), then truck loads are scheduled for delivery several times per month. If a product has low yearly usage (100 cases), such as item # 54, Jumbo Straws, then a onetime order may be placed for the year. On items with medium usage such as item # 59, Bag, (3,600 cases) then 3 to 4 orders may be placed per year. We are willing to work with the awarded vendor to maximize truck load orders when possible. Please be aware that these are guidelines. Inventory replenishment purchases are based on the cafeteria sites usage and that may change.

Answer : Many of the item descriptions have a case size in the specification. Those that do not may be bid in the industry standard case size available, and they will be evaluated based on the cost per item. We are open to changing case sizes on items with no case size in the specification, in order to obtain the best price.

Question : Given that the spork packet?s estimated yearly usage is 56,400 cases, can we assume that the rest of the items on the bid were given estimated usages for two years as well? 
Answer : The only item where estimated quantities was mistakingly given at 2 years was #47. All the other items are for a 1 year period.

Question : I noticed for the previous bids, there was information that the Spork Packet included both a pouch straw and a milk straw. (Item #47). Can we confirm that this spork packet will only include 1 spork, 1 milk straw, and 1 napkin? 
Answer : Please refer to the Bid Proposal Form specifications for Item #47. The information that is listed there is what vendors should bid on.

Question : I have a couple of questions on MDCPS item no. 452-0319. How many cases were purchased last term? How were they ordered? One po per truckload or do you order multiple truckloads on one po and advise of dates required so it can be put into production ahead of time?  
Answer : If this is the spork packet you are referring to then the information is as follows: The estimated quantity on the bid reflects the actual yearly usage, approximately 53,000 cases. We order multiple truck loads on one purchase order, usually 15,000 case orders. We schedule deliveries for the entire purchase order to allow for planning, production and shipping. We order with a lead time of 2 to 3 months in order to allow time for production and shipping.
